TurboCASH 3.75

TurboCASH Maintenance

We have fixed more bugs in TurboCASH and made many improvements to TurboCASH. We have also included a number of new features to the program. Please feel free to report and submit any bugs and suggestions for improvements. We would also like to thank those of you who have contributed to this version of TurboCASH by using our bug reporting system and participating on our forums.

Translation

More features have been added and more labels have been translated. The Label files for English, Afrikaans, etc have been tidied and improved. New Language labels have been added and other languages have been improved.

User Interface

Screens have also been improved and made more user friendly. Some functions on screens are now more logical and functions have been grouped where necessary.

For example, the T-Account Viewer can display more information on transactions; the Setup Stock Information - Cost of Sales Account has been removed and now only need to be selected on the Edit->Stock Items screen (not on both the Setup->System Parameters->Srock Information and the Edit->Stock Items menu options).

Turbo Menu

Turbo Menu (right clicking) now lists more than 10 items (+-25 recently accessed menu items) for easy access to facilities or screens in TurboCASH. Internet

On the Help menu in the TurboCASH program, you may directly access the following important web pages on the Internet:

    • Bug reporting (soureceforge) - Our bug tracking system at http://www.sourceforge.net/projects/turbocash.
    • Forum - You may also make use our Forum to find suggestions and solutions to any problems and errors, which you may encounter.
    • Online Update – Download the latest version of TurboCASH for free or any Updates
    • Support – Direct Access to our Support page on the web from the Support details screen.
    • Online Registration - Directly access to our Registration page on the web. You may also click on the Get it Online button of the Register your TurboCASH screen (initiated when you start an unregistered version of TurboCASH) or by assessing the Registration facility on the Help menu).

You are also encouraged to use our Wiki has also been implemented where users may assess information and add content to the Wiki and edit Wiki pages. The Wiki can be accessed from the Wiki button on the TurboCASH website (http://www.turbocash.co.za) New 5-Digit Account Codes for Charts of Accounts

The 3-Digit Chart of Accounts is the default for option. The 4-Digit Chart of Accounts option is implemented before version version 3.74. The 5-Digit Chart of Accounts option is implemented in version 3.75. TurboCASH allows you the options to create a Set of Books in the Advanced Option of the Creation Wizard to select one of the following options:

  • 3-Digit General Ledger Accounts - 6-Digit Debtor and Creditor Accounts. (default option).
  • 4-Digit General Ledger Accounts - 7-Digit Debtor and Creditor Accounts.
  • 5-Digit General Ledger Accounts - 8-Digit Debtor and Creditor Accounts.

Default Accounts and Tax Accounts for Debtor / Creditor Accounts

You may set a default account and / or tax account for debtor accounts in the Edit->Accounts->Debtors (Accounting Information tab) and for creditor accounts in the Edit->Accounts->Creditors (Accounting Information tab).

This facility will override the accounts and tax accounts as selected for Stock Item on the Edit->Stock Items menu option and the transactions will be posted to the default debtor / creditor account and / or tax account.

Batch Processing

No Tax Auto Hide Exclusive and Inclusive Icons

If the No Tax option is selected in the Batch Setup Options, the Exclusive and Inclusive icons will automatically not be displayed on the Batch Entry screen's Tool bar. Auto Alias Setup Option

On the Batch Setup Options, you may now set the option to automatically generate Aliases (Batch Names)

Electronic Banking

The following processing options have been improved:

  • Pay Creditors option
  • Receive Debtors option

Document Processing

Disable / Hide Stock Items from Stock Lookup when processing Documents

By default, all Stock Items are enabled when Stock Items are created or edited. You may disable Stock Items (on the Edit – Stock Items menu option), to hide them from the Stock Item lookup (search facility) when processing new documents. This will speed up document processing. You will still be able to update (post) any unposted documents, which include transactions for the disabled Stock Item, to the ledger.

The following are some examples when the Disable Stock Item feature may be used:

  • Deleting Stock Items – You cannot delete a Stock Item which contains transactions and balances.
  • Discontinued / Withdrawn Stock Items - Examples are, products replaced by new products (old products discontinued), stop selling stock items not in demand by customers, etc.
  • Stock Items – temporarily out of stock (problem with supplies) - You may disable the stock items, and enable the stock items when your suppliers are ready to deliver.

You may select the disabled Stock Items on the Stock Item lookup (search) facility when generating Stock, Sales Analysis and Purchase Analysis Reports and view the transactions of disabled Stock Items.

Point-of-Sale Invoice Payments and Invoice Print

In TurboCASH Version 3.74, you could configure 3 accounts (Cash Sales, Cash Transfer and Till Account) in the Point-of-Sale Setup (Settings) screen, which will be used to update (post) Point-of-Sale Invoices when closing the Point-of-Sale Shift.

In version 3.75, you now have 4 accounts to record the Point-of-Sale Invoicing transactions. The fourth account, is the Cheque Account, which will be updated with all Point-of-Sale Cheque Payments processed. This makes it easier to reconcile and manage the Point-of-Sale Invoicing transactions. For example, you may set the Cheque Account as the Bank Account (in which the cheque payments will be deposited).

Reports

All Years - Print and View Transactions for both This Year and Last Year Periods in one Report

All Years lookup (search) facility has been introduced to the following Report Options screens:

  1. Batch Type
  2. General Ledger Transactions
  3. Debtor Transactions
  4. Creditor Transactions

You may now include the transactions and or balances for more than 1 year's (This Year and Last Year Periods) in one report. In TurboCASH Version 3.74 and earlier, you had to generate two separate reports for This Year and last Year Periods. Stock Re-Order Report - Unposted and Purchase Order Option

You now have the option to select to include (or exclude - default) Purchase Orders and Unposted documents in the Stock Re-Order Report. This information will be displayed in an additional column on the Stock Item Re-Order Report.

Statements - Print Logo Option

You now have the option to select to print the Company Logo (or Company Address) on Debtor Statements, provided that the Company logo is loaded in the Setup - System Parameters - Company Info (Options) screen.

Access Control

Custom Limitation

You may now select specific functions for a user from a list of available functions. For each of these selected functions you may add a parameter (Show, Hide, Enable or Disable) from a list. This will automatically update or write a script for you in the Custom Limitation box. Replication

Select to enable or disable Replication of Open Batches to a Server – Select to Upload or Download Open Batches. To use this feature, your System and TurboCASH must be properly configured for the Network. The following options may be enabled:

  • Upload - from a Set of Books into a remote Set of Books.
  • Download - from a network location remote Set of Books into the active (opened) Set of Books.

Reverse / Cancel Posted Batches / Documents

Posted Batches – now only list batch numbers and not both batches and documents Posted Documents - From Delimited List

If you have more than one updated (posted) document to cancel (reverse), you may click on the Select from Delimited List button to enter a list of document numbers. For example, if you wish to cancel (reverse) Invoices IN000003 and IN000004 as well as Credit Note CR000001 simultaneously, enter each of the document numbers separated by a comma (without a space) e.g. IN000003,IN000004,CR000001. If you click on the Reverse Posted Document button, all the selected documents will be cancelled (reversed) during the same process.

Updated Example Sets of Books

The example sets of Books have been updated to the current 2006 / 2007 tax years. This has also been done with the Handyman sets of books. These now match the EBoooks which are sold on the TurboCASH Shop.

TurboCASH Maintenance

We have fixed more bugs in TurboCASH as well as making many improvements. We have also included a number of new features to the program. Please feel free to report and submit any bugs and suggestions for improvements. Our bug tracking system is available at http://www.sourceforge.net/projects/turbocash. You may also make use our Forum to find suggestions and solutions to any problems and errors, which you may encounter.

Translation

We have now added most of the outstanding labels to the TurboCASH source code. In this process we have also improved the user interface. This allows translations of longer words in other languages to be displayed in the user interface.

This makes TurboCASH 95% translatable. We are now comfortable that we have a really slick translation system. We look forward to bringing you TurboCASH in many languages in the near future.

New User Interface

Larger icons and a new look. The icons on the speed bars and screens are available in the larger 48 x 48 pixel format. Also the screen layout is revamped. In addition to this, the colours we now have are also softer.

Options to Speedup Processing

You now have the option to turn on or off the following options in the Data Parameters Setup:

  • No Warning unposted
  • Do not calculate batch

By default, TurboCASH automatically calculates all the totals in all batches, which have not been posted or updated to the ledger. You may turn this option off to speed up reports, etc.

The trial balance is now 50% faster. You may still generate for unposted transactions entered or imported into batches (which have not yet been posted or updated to the ledger). You may choose to generate the trial balance to include only the unposted transactions or unposted transactions as well as posted transactions or only the posted transactions.

Calendar to Manage Events / Appointments, Tasks and Contacts

A powerful Calendar which integrates your agenda (tasks, appointments, contacts, etc.) in a Set of Books in TurboCASH has been implemented. You may manage all your events in this Calendar with options to set the recurrence of an event (i.e. daily, weekly, monthly by day, monthly by date, yearly by day, yearly by date or custom where you may specify the interval in days). In addition to scheduling all your events, the Calendar has a powerful reminder, which you may set to remind you of a scheduled event or appointment well in advance (from any number of minutes, hours and even days).

A very useful feature is that the events / appointments are managed in the following four categories:

  • Appointment (general - i.e. with bank manager, lunches, etc.)
  • Repeating Invoices - schedule when you need to copy / process repeating invoices
  • Debtors Appointment - schedule appointments with debtors / customers for specials, accounts, etc.
  • Creditors Appointment - schedule appointments with creditors / suppliers for orders, accounts, etc.

Once you have scheduled an event / appointment, you may view the events / appointments and any notes on the Appointments tab of debtor accounts and creditor accounts.

New Advanced Contact Management Features

Contacts may now also be created, edited or deleted on the powerful Calendar. In addition to this, you may also create, edit or delete contacts on the Edit - Contacts, Edit - Delete - Contacts, Reports - Contact Listing, Contacts tab of Debtor Accounts and Creditor Accounts.

New Advanced Filter and Search Options

Advanced filter and search facilities have been implemented on the following features:

Debtor Accounts Creditor Accounts Contacts Documents

If you need to find a specific record, or all records with the same values, you may use the filter options, operators and values to display only those contacts in your search or filter criteria.

Schedule and Process Repeating Invoices

In addition to the repeating invoices facility in TurboCASH, you may now also schedule repeating invoices as an event on the Calendar. This feature also allows you to:

  • Set the reminder
  • Add or edit Notes (additional information and messages)
  • Edit and / or re-schedule the repeating invoices event
  • Copy the repeating invoices from a selected document (Quote or Invoice) to a selected Debtor Account or all Debtor Accounts for a specific Debtor Group 1
  • Process repeating invoices

Once this is done, you may select the debtor account and the invoice number to check, edit (if necessary) and print the invoices. Finally you need to post or update the invoices to the ledger to update the transactions to the general ledger, debtors ledger, and the stock ledger.

New Document Processing Interface

To process, create and edit documents has never been easier. The new interface for documents makes document processing quicker and faster than ever before.

The first screen when you access the documents from the Input - Documents menu option or the Speed Tool bar, is the Document Entry Main screen for the selected document type.

On this screen new advanced filters and search facilities are available to find and locate documents to edit, post or delete. You may also filter or search by Name, Account Number (Code of the Debtor / Creditor Account), Description (Description of the Debtor / Creditor Account), Document Number, Reference Number (debtor (customer) or creditor (suppliers) reference number, Amount (document total inclusive of tax (sales tax / VAT / GST)), tax amount (sales tax / VAT / GST amount) Date, Document group 1 or 2, Salesperson or all Documents which have been printed as an option.

To create and edit (Invoices, Credit Notes or Quotes for Debtor (Customer) Accounts and Purchases, Goods Returned Documents or Orders for Creditor (Supplier) Accounts on the Documents Entry Details screen is easier since the interface is more logical - it has a neater look and all the editable fields are grouped together.

Quick Access to filter, find and locate documents and transactions for Debtor Accounts and Creditor Accounts

If it should happen that you receive a query from a debtor (customer) or a creditor (supplier), you may filter, search and locate a specific document on the following screens:

  • Edit - Accounts - Debtor - Documents tab
  • Edit - Accounts - Creditor - Documents tab

All documents will be listed for the selected debtor or creditor account, irrespective of whether they have been posted or updated to the ledger or not. You may then also view this document in the Fast Report Viewer on screen, print it out on the printer, fax or email this document or save it to a file.

In addition to this, you may also view the transactions created by these documents (only those documents which have been posted or updated to the ledger) as well as any other transactions in batches (journals) relating to the selected debtor / creditor account. If you have used the Open Item Link feature, you may also view and analyse the outstanding amounts relating to a document:

  • Transactions tab of a Debtor Account - where a credit note, receipt transaction or other credit transaction has been linked to the specific debit transaction (invoice), you may also view the outstanding balances for a specific invoice.
  • Transactions tab of a Creditor Account - where a goods returned document (supplier credit note), payment transaction or other debit transaction has been linked to the specific credit transaction (purchase), you may also view the outstanding balances for a specific purchase document.

Received Payments from Debtors can now be paid with a bank system

The Pay Creditors batch processing option introduced in the previous version of TurboCASH has been improved where outstanding amounts on creditor accounts can be scheduled for payment. You can now enter the bank account number of the creditor and the due days on which the creditor needs to be paid in the Edit - Accounts - Creditor (Accounting Information tab). When you use this facility to process payments, the payments of creditor accounts will be scheduled for payment on the due dates. This facility also supports the Clieop payment system file formats. A Creditor payments report has been added to view and manage the payments scheduled for creditor accounts.

This Receive Debtors feature where payments from debtor accounts via the banking system can be received has been added.

TurboCASH as a Multi-User Product

TurboCASH comes standard as a multi-user product. TurboCASH is now easier to configure and setup on a network.

We have some installations with as many as 10 users. Large Windows 2003 servers and Linux SAMBA servers can increase this. By introducing Razor Accounting Servant we have been able to get as many as 150 users...

Some of the features are:

  • Share a drive with the other PCs in the network.
  • Option to share more than one Set of Books on a network
  • The Borland Database Engine (BDE) can be adjusted to give improved speed.
  • Test TurboCASH on a network to monitor performance on your network.

Running more than one copy of TurboCASH on the same machine

By default you can not run more than one copy of TurboCASH on one machine. The MULTY TRUE Mode allows you to run several copies on several machines. For example you have a three user network and by running three copies on each machine you can simulate a nine user network.

To enable this feature, RIGHT-click on the TurboCASH icon and reset the properties in your target application to be TCASH3.exe MULTY TRUE. If this is done, you will see at the bottom left of the Document Entry Main screen (i.e. Invoicing), that the milliseconds facility will be displayed.

This will let you automatically make as many invoices as you like in millisecond slices. You will also find a similar facility on the Update Ledger screens for documents.

SQL Arguments and Queries

TurboCASH also supports SQL arguments and queries in the T3DataUtil and the SQL Browser. Programmers and / or consultants use these to view and analyse the data in a Set of Books.

Open Item Link Facility for General Ledger Accounts

The Open Item Link feature as used for Debtor Accounts and Creditor Accounts have now been expanded to accommodate Open Item Processing for General Ledger Accounts, e.g. asset accounts, liability accounts, income accounts, expense accounts, suspense accounts, etc.

If you wish to link the credit transactions to specific debit transactions and vise-versa, for specific General Ledger Accounts, you may specify the general ledger account numbers or codes in the Open Item Ledgers field of the Setup - System Parameters Data Parameters menu option. You may then double-click in the Debtor / Creditor Accounts accounts field of the Open Item Link field to process Open Item Links for these accounts.

Custom Limitations for Access Control

The Access Control features have been improved for advanced security. You can turn on and off ANY menu, giving you complete control over what the user can do. For example you can take away setups for everything else except creating document groups, and all tools except Update server... This has fantastic implications for a field worker who needs to make document categories for companies he visits and wants to update the HQ server at the day's end.

Point-of-Sales Settings

Many new features in Point-of-Sales have been added. The following new options can be turned on / off in the Point-of-Sales Settings:

  • Fast-switch Salesperson
  • Round Point-of-Sales Invoice Amount
  • Show quantity on hand
  • Use Debtor Selling Prices
  • Use Password for Discount Allowed on Point-of-Sales Invoices

Point-of-Sale Invoicing switch to Normal Invoicing

While a salesperson is busy with a Point-of-Sales invoicing session, the salesperson may click on an Invoicing icon to process normal invoices, quotes and credit notes for other debtors. Once finished with the normal invoices, quotes and credit notes, the Point-of-Sale invoicing facility is automatically active.

Add Comments for Cash Received from Customers

You may now add comments or additional information when processing cash payments received from customers.

Point-of-Sales Float Movements

The Point-of-Sales float movements in and out of the drawer allows you to:

  • Select an account for payments into the drawer or payments out of the drawer
  • Select a customer by Document (invoice)

Point-of-Sales Receipting and Invoicing

Save your customers an enormous amount of money as you can receipt 'AN INVOICE' at the cashier after its has been invoiced by a sales person on the same counter. This saves the company an extra tillslip printer (R2000) and cashdrawer (R700) as only the cashier now needs this.

This also has strong audit control implications as a salesperson can be made to only invoice and cashier to only receipt if you like (good for big hardware stores, retail for example).

Point-of-Sale - Peripherals Weight Dishes

The Point-of-Sale now supports weight dishes. It is easy to set and configure the weight dish and it can be easily activated as a processing option during a Point-of-Sales invoicing session.
